Detailed Information:

Visa Requests

If you need a visa to attend SPAA, please send your request for a letter in support of a visa application to the ACM headquarters at supportletters@acm.org and include your name, affiliation, mailing address, and fax number. Indicate that you plan to attend SPAA (authors of regular papers, brief announcements and posters should also include the title). Those attendees not coming from a university or research institution are advised to contact the SPAA secretary first.

Room Reservation

There is a dedicated website to make room reservations at Asilomar Conference Grounds for participants of SPAA 2016. To make reservations, please visit this link. Through this link you can book, modify or cancel your hotel reservations. Room availability is guaranteed till May 20. Afterwards, rooms can still be booked, but availability may not be guaranteed anymore.

Important: Registration through the above link includes the cost of meals. Those booking the room through other means (including from Asilomar's webpage, but not the above link) must pay the $300 "offsite fee" to cover the meals. The fee should be added as Merchandize on the registration page.

Payment policy:

The total value of the reservation plus a one time processing fee of $20 per person will be charged within 24 hours of booking.

Cancellation policy:

$100 per person will be deducted from all refunds to cover the cost of processing and handling for cancellations received by May 10, 2016. Regrettably, no refunds can be made for all cancellations received on or after May 11, 2016.

Room sharing:

When you register at the room reservation website above, you can specify that you want to share a room (both occupants must still register separately). For example, you can do the following:
  1. Pick "Double Occupancy - Roommate request".
  2. Choose the check-in and check-out dates. Don't try to change the number of guests.
  3. Click "Find" which gives you a "Double Occupancy – Roommate Request" room that you can select.
  4. In that selection, under "More details" you will find the following:

    ROOMMATE REQUEST

If you have questions about roommate assignment, please contact the Local Arangements Chair Bradley Kuszmaul at bradley@mit.edu
